# Privacy at Clubbooking

A short summary of the Clubbooking privacy policy (version of 10 October 2026). Clubbooking is operated by Mollisware in Eindhoven, the Netherlands. Read the [full privacy policy](https://beta.clubbooking.app/legal/privacy-policy.pdf) for all details; if this summary and the policy ever differ, the policy applies.

## Who is responsible

Mollisware is responsible (the controller) for your Clubbooking account, for running, securing and improving the service, and for product analytics and crash reports.

Your club is responsible for the data it manages about its members, such as memberships, bookings, attendance, teams and news. Mollisware processes that data on the club's behalf under a data processing agreement. Questions about how your club uses your data are best asked to your club.

## What we collect

We do not ask for health data, we show no advertising and we never sell personal data.

- Account: your email address and sign-in method (email and password, Sign in with Apple or Google). With Apple or Google we also receive your name and, if available, your profile photo.
- Profile: your name, date of birth, gender, profile photo, bio and visibility setting.
- Club and activity: the clubs you belong to, your roles and teams, bookings, trainings, equipment reservations and news posts.
- Billing (clubs only): club and invoice details, contact person, VAT number and subscription and payment history, handled through Stripe.
- Device and connection data: IP address, push notification token, device model, operating system and app version.
- Usage analytics, only with your consent, and crash reports and performance data so we can find and fix problems.

## Why we use it

- To provide the service: your account, bookings, teams, news and notifications (performance of our agreement with you).
- To keep the service reliable and secure and to prevent misuse (our legitimate interest).
- To understand how the service is used so we can improve it (your consent, which you can withdraw at any time).
- To bill clubs for their subscription and keep financial records (agreement with the club and legal obligation).

## Cookies and analytics

The website uses strictly necessary cookies and browser storage to keep you signed in, remember your language and theme, and protect the service against abuse (Google reCAPTCHA). Google Analytics cookies are only placed after you accept them in the cookie banner, and you can change that choice at any time with “Cookie settings” in the footer. The iOS and Android apps do not use cookies.

## Who processes it for us

Some of these providers process data in the United States. We then rely on the EU-US Data Privacy Framework or on the European Commission's Standard Contractual Clauses.

- Google (Firebase and Google Cloud): hosting, database, file storage, sign-in, notifications, abuse protection and performance monitoring.
- Google Analytics for Firebase: product analytics, only with your consent.
- Google Gemini: the optional AI training suggestions.
- Google Workspace: invitation and service emails.
- Sentry: crash reporting and error monitoring.
- Vercel and Cloudflare: hosting, content delivery and protection of the website.
- Mapbox: maps and location search.
- Stripe: subscription payments of clubs.

## How long we keep it

We keep your account and profile until you delete your account; we then delete or anonymise your data within 30 days, unless the law requires us to keep it. Crash reports are kept for 90 days, server logs for at most 12 months and club billing records for 7 years, as Dutch tax law requires.

## Your rights

Under the GDPR you may access, correct, delete or export your personal data, restrict or object to its processing and withdraw your consent. Most of this you can do in the app yourself, for example by editing your profile or deleting your account. For anything else, email [privacy@mollisware.com](mailto:privacy@mollisware.com); we respond within one month. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

## Children

You can create an account yourself from the age of 16. Younger members can only use Clubbooking with the permission of a parent or guardian, which their club is responsible for obtaining.
